Under the minimal supervision of the administrative lead, Administrative Officer 2 will perform a broad variety of administrative tasks and support to two extremely busy Transplant Faculty; a Vice-Chair of Clinical Operations & Value, a Vice President of Perioperative Services, and a Research Laboratory Ph.D. Director and one renowned Nephrologist. The incumbent will manage their extremely complex calendars, draft correspondences, minutes of meeting, and letters on behalf of faculty. The incumbent is responsible for analysis of all orders, budgets, and reconciliation of expense documents, assuring cost savings and effective use of all shared equipment and supplies. He or she will prepare itineraries, agendas, and compose detailed travel plans. He or she will coordinate retreats, interviews, meetings with other UCSF departments in addition to numerous external organizations. The Administrative Officer II will also handle highly confidential documents between UCSF Health, external partnering hospitals, School of Medicine, Dean's Office, and fiscal donors regarding programmatic initiatives, recruitments and developments. This incumbent is expected to handle confidential matters with discretion. The Administrative Officer II is responsible for the management of all academic programs within the lab: scheduling, communication with visiting professors, and assuring smooth conduct of lab meetings and monthly seminars. Incumbent is also responsible for supply and inventory control and audits, safe functioning of equipment and lab, and renewal and maintenance of all laboratory certifications and documentation. Incumbent is responsible for all facilities management within this laboratory space in liaison with Admin Director of the Surgery Department. Personnel in the Transplant Research Laboratory aggressively pursue growth in both the clinical and scientific research arena, and it is the responsibility of the administrative analyst to independently manage several dissimilar functions for the demanding workload generated. The incumbent will manage a range of responsibilities associated with the Surgeons' administrative, research, and clinical roles, including communication for the faculty in all aspects of their work. This position is critical in managing the transplant surgeons' many leadership roles, including oral communication and written correspondence with Division and Department faculty, other university faculty and officials, the Dean, UCSF Medical Center administration, national journal editorial boards, publishers, professional associations, research institutes, private corporations, the Liver Transplantation Foundation, and private foundations, governmental agencies, other high level contacts at other universities, and patients. The incumbent will be required to independently (with minimal supervision) produce visual aids, i.e., prints and slide presentations of figures and tables, computer graphics, and photocopying of materials for major meetings. Coordinate and support editorial responsibilities for scientific and clinical publications, including library and online searches, manuscript preparation, and management of bibliographic materials using EndNote software (relevant literature, subscriptions to journals, etc.) The incumbent will be responsible for orchestrating complex travel schedules involving both national and international locations. Other general office administrative tasks may include distributing mail, reviewing, and forwarding incoming fax, updating conference room calendar, updating phone list, maintaining event list, restocking pantry supplies, processing lab coat cleaning orders.
