Robert Half is working with a family owned construction company that has been in business for over 30 years. Our client, located in San Carlos, works with businesses, residents, restaurants, retail stores, and even school/universities. They are growing. The reason this role is open is due to the current Office Assistant is being promoted. If you are a hard worker, have 1 - 2 years of office experience, and can start immediately, please apply ASAP! We are looking to get this role filled by the beginning of December.

Salary: DOE

Schedule: Monday through Friday 8AM - 5PM

General Duties:

  • Greet clients and answer the phones
  • Support office of 20 employees – prioritizing Sr. Project Managers and Estimators
  • Assist the teams by printing & binding plans, extracting and creating PDFs, scanning, e-mails, making binders for new jobs, misc. filing, contract organization, etc.
  • Maintain, update, print, and organize general forms, paperwork, and excels
  • Assist with onboarding of new employees
  • Facilitate incoming and outgoing mail utilizing USPS, FedEx, and UPS
  • Manage and maintain all office supplies and ordering (Costco, Office Depot, Amazon, weekly groceries, printer supplies, etc.)
  • Organize and replenish all office and kitchen supplies daily
  • Maintain and organize storage rooms, front desk & conference areas, kitchen, and print stations to ensure areas are kept clean

Field Related Duties:

  • Maintain and organize all daily jobsite paperwork from field employees (up to 100 installers) and upload to cloud software
  • Issue and track weekly Safety paperwork from jobsites
  • Process all field reimbursements and submit to payroll weekly
  • Gather, pack, and load field paperwork for delivery

Vehicle Related Duties:

  • Maintain GPS tracking and maintenance for all company vehicles, keeping track of daily usage
  • Notify drivers of maintenances due and schedule vehicles for service as needed
  • Maintain and update vehicle excel sheets and files
  • Create folders for new vehicle purchased and monitor warranties

Office Notes:

  • Must be okay with dogs in office
