Job Description - SharePoint Administrator

Seeking a dynamicSharePoint Administrator to join the Police Services Support Office. This position requires the ability to provide administrative and analytical support to the business unit on Group-level initiatives and objectives specific to information management with a focus on digital storage applications and transition physical records to digital files. A successful candidate is a customer service-oriented individual with strong administrative, organizational, analytical and communication skills.

In this role, you will be responsible for implementing the structure and administration of storage applications, providing training and support to end users, documenting record destruction, and collaborating with fellow team members to continue process improvement and enhance the end user experience.

Responsibilities: In this role, you will:

  • Work with members of all levels of the Police Services Group to understand strategic direction, business needs, and processes
  • Create solutions that meet the direction and processes in collaboration with the program management team
  • Document the architecture, permissions, and review process for information management applications
  • Develop and document a plan for the transition away from long-term physical record storage
  • Provide training on information management applications
  • Participate in information management discussions and meetings within Police Services and the Information Management Program
  • Be an internal expert on SharePoints features and capabilities, as well as stay abreast of new/upcoming features and industry/technology trends
  • Be the primary contact with internal business partners for the FileNet application and share knowledge with team members
  • Collaborate with team members in a 24-hour-a-day operational environment to enhance end user experience on other online applications and tools, such as internal websites and collaborative methods

Duties and Responsibilities:

  • Serve as a SharePoint Online site owner, including design and build a site, webparts, and other components from an initial re-design project outcome, and expand upon the initial plan as needed to meet management and end user needs and expectations
  • May need to manage legacy SharePoint sites during transition to SharePoint Online
  • Develop detailed documentation on site architecture, permissions, naming conventions, metadata and information management tags, and review processes
  • Ensure clear and prompt communications of pending and known changes that impact end users to app
  • May need to periodically adjust work schedule to visit with operations staff during their working hours

Qualifications:

  • Bachelors degree or equivalent work experience
  • 2+ years with SharePoint as a site owner and/or administrator with experience in supporting end users through computer (PC/laptop) and mobile (phone/tablet) platforms
  • Ability to utilize critical thinking skills and make sound decisions in a timely manner
  • Ability to prioritize competing requests, while completing ongoing work
  • Excellent verbal and written communications skills, with demonstrated ability to create clear, concise written documentation and to proofread own and others work
  • Analytical, multitasking, organization, problem solving and time management skills
  • Ability to work in a fast-paced environment and meet tight deadlines
  • Ability to learn new concepts and technical functions quickly
  • Ability to work cohesively and collaboratively with all levels of the organization
  • Ability to be creative and resourceful when faced with challenges

Preferred Skills/Experience

  • Advanced knowledge of Microsoft Office 365 applications preferred
  • Experience with IBM FileNet preferred
  • Knowledge of project/program management preferred
