The Tax Administrator is a supportive role which helps execute various essential duties and responsibilities needed to deliver high quality work with top notch customer service. The ideal candidate is someone who is driven, energetic, and can thrive in a fast-paced environment. This person can work in a collaborative environment with various teams, is comfortable leading processes and procedures, and will have varying daily responsibilities. Successful candidate characteristics also include strong interpersonal skills, highly organized problem-solving qualities, a positive attitude, and a strong work ethic.
Support the Tax Partners and Tax department’s administrative needs in an efficient manner that demonstrates a high level of client service, quality work, proactive-ness, and accountability.
Process and assemble tax returns, extensions and estimates in a mostly paperless environment.
Prepare tax organizers and engagement letters in accordance with firm's policies and procedures.
Prepare and proofread correspondence, format documents, reports, and maintains confidentiality with client information.
Assist with scheduling meetings, maintaining calendars, conference attendance and travel itineraries.
Collaborate with the scheduling team to manage the tax scheduling process.
Order and distribute updated tax regulatory books, forms, and any necessary materials.
Assist with monthly billing and entering of monthly expense reports for partners as requested.
Assist in maintaining databases, spreadsheets, project trackers, schedule all tax training sessions, including the coordination of in-house tax training and registration.
Attend all tax department meetings, take meeting notes, prepare actions items, send reminders, and conduct timely follow up as needed.
Confirm completeness and accuracy of own work as well as the work of others to mitigate redundancies and ensure the highest quality deliverables.
Proactively identify and lead improvement process efforts related to Tax Administration and anticipate others’ needs to ensure a seamless, positive experience.
Maintain continuing education requirements for partners as needed.
Provide overflow and backup support to Admin team members that include, but are not limited to answering and routing front desk calls, picking up and delivering mail, ordering office supplies, assist with scanning, filing, assisting with kitchen and overall office maintenance.
Bachelor’s degree in Business Administration or related field is a plus.
3+ years’ experience in a professional services firm; experience with a CPA firm is highly desirable.
Attention to detail, strong organizational and follow-through skills.
A proactive self-starter who works with a sense of urgency, effectively manages time sensitive information, possesses strong problem-solving skills, and excellent verbal and written communication.
Able to work effectively in a high-volume, fast-paced, deadline-driven environment and handle multiple projects while prioritizing, planning, and organizing projects simultaneously.
Works collaboratively with all levels within the firm and can work independently with limited supervision.
Intermediate to advanced proficiency with all Microsoft applications and is also tech savvy with the ability to quickly learn new software tools and business processes.
Flexibility to work additional hours during peak periods of the year, including weekends.
Open to constructive feedback and on-going self-improvement
Be a certified notary or willing to become certified.
Must be able to work in office on a recurring basis.
Must be legally authorized to work in the United States without the need for employer sponsorship, now or at any time in the future.
