OVERVIEW:

The Divisional Volunteer & Planned Giving Administrative Manager serves to support the division in the area of Volunteers and manages the Planned Giving and Donor Care programs. This position will support the Planned Giving Directors and ensure donor questions and enquiries are responded to appropriately by the Donor Care & Administrative Assistant. This position will also assist the division with Kettle initiatives and tracking.

Volunteer Manager Duties and Responsibilities:

  • Develop working relationships with Corps Officers and staff to gain knowledge of Salvation Army programs and volunteer needs

  • Be familiar with the Volunteer Management System and offer training and support to the field as necessary

  • Support corps and programs by identifying and publishing a list volunteer opportunity for individuals and groups

  • Develop means to convey acknowledgement, appreciation, and recognition for volunteer services rendered as a resource for the field

  • Work with Digital Marketing Specialist to connect volunteers to corps and programs through social media awareness

  • Create and maintain resources to assist corps and programs in the orientation, training, paperwork, procedures, and recordkeeping of volunteers

  • Be familiar with PTM guidelines as it relates to volunteers and work with PTM Coordinator accordingly

  • Be ready to assist Emergency Disaster Services Director in recruitment and tracking of volunteers to deploy in a disaster

  • Assist and support corps and programs with any volunteer related questions and needs

Field Administrative Duties and Responsibilities:

  • Be familiar with goals and objectives of the Development Department and the Golden State Division.

  • Understand and be able to explain functions of The Salvation Army structure and planned giving fundraising techniques.

  • Provide administrative and project management support to Planned Giving Directors.

  • Reply to general correspondence as needed.

  • Maintain appropriate donor files and data base (s) as required by Planned Giving Directors.

  • Ensure accuracy and up to date records are maintain on all donors.

  • Ensure donations are promptly recorded, coded and notified to Donor Stewardship for inclusion on the Divisional centralized donor database.

  • Maintain records on Crescendo.

  • Work with Development team when required on the planning and execution of special events and other marketing projects as assigned.

  • Supervise the Donor Care & Administrative Assistant.

Kettle Initiatives Duties and Responsibilities:

  • Support and assist Corps Officers and staff in their annual kettle campaign.

  • Become familiar with the Kettle Web program and provide training to the corps as needed.

  • Monitor corps Kettle Web program to ensure that the campaign is set up correctly and information properly recorded as required by THQ.

  • Ensure that VMS and Kettle Web programs are linked so that volunteers can see kettle opportunities in VMS and sign up for a shift in Kettle Web.

  • Act as divisional liaison with Tip Tap representative and be familiar with the Tip Tap tracking program.

  • Offer training and support to the corps on Tip Tap and ensure that income is recorded correctly in Kettle Web.

  • Complete Tip Tap reports for the division as needed by THQ.

  • Analyze and compare kettle results making suggestions and ideas to leadership as necessary.

  • Following Christmas, compile kettle reports for the division.

  • Assist and support corps and programs with any kettle related questions and needs.

Qualifications:

  • Associates Degree required, Bachelor's Degree a plus.

  • Able to demonstrate strong written and verbal communication skills.

  • Able to take initiative.

  • Capable of maintaining a high level of integrity and confidentiality.

  • Detail oriented, accurate and precise, and maintain accurate filing systems.

  • Capable of handling and controlling multiple projects.

  • Demonstrate strong team player" attitude.

  • Able to work independently with minimum supervision.

  • Knowledge of Microsoft Suites; Word, Excel, PowerPoint, Desktop Publishing preferred (HTML and Photoshop a plus).

  • Able to demonstrate strong communication skills both written and verbal.

  • Self-motivated and able to motivate others.

  • Excellent organizational skills, detail-oriented, accurate and precise.

  • Ability to maintain good rapport and communication with other staff members, corps personnel and the public.

  • Knowledge of Salvation Army practices, policies, and organization desirable.

  • Ability to lift up to 25 lbs. (usually file boxes)
