Position Summary

Manage the delivery of clerical support and administrative services for the office of the Chief Executive Officer [CEO] of the company.

Reporting Relationship

This position reports to the CEO. This person will also take direction from the CEO’s Chief of Staff.

Job Responsibilities

Role encompasses all responsibilities of a Senior Executive Assistant and serves to improve the efficiency of the CEO’s office.  This is an enterprise wide view that is both internal and external facing. This person provides additional support as needed for the CEO’s role on the PG&E Board of Directors in addition to providing support for the CEO’s external board and community involvement.  This person needs to exercise good judgement fielding requests for keynote speaking opportunities and requests related to driving industry focused initiatives. This person must ensure that clerical and administrative services result in efficient and effective delivery of call management, customer service, calendaring/scheduling, meeting logistics, extensive travel [inside and outside our service territory], event coordination, correspondence, documentation, and records management. As appropriate this person assists requests for managing lobbying and political compliance requirements and reporting. Handle high volume of expense reports [associated with extensive travel coordination], invoices, purchase orders, budgets, and office equipment/supplies. Manage tasks and activities related to areas such as HR, safety, mandatory/required training, and facilities and asset management. Create reports and presentations at the request of CEO and Chief of Staff.

This person has a keen sense for prioritizing scheduling and travel for the CEO and can quickly adapt to a dynamic schedule and priorities. This person must leverage the CEO Standard Work Calendar to enable stability in planning and scheduling. Acts as liaison for the CEO internally at PG&E and externally using professional judgment to prioritize and route requests, communications, issues, and action items to appropriate parties for follow-up and response.  Maintain professional demeanor and interaction with contacts that include senior level officers internally and externally, and with government officials [state, local and federal].  This person may also interact with members of the media for scheduling purposes.

Provide guidance to assigned administrative support staff within the executive's organization. Establish clear performance expectations; monitor progress, scheduled check-ins to provide feedback and further development as needed. Make salary recommendations in addition to hiring decisions. Supervise with the goal of creating a sense of teamwork and accomplishment in the immediate office. Continue to support the larger team of executive assistants by providing guidance, resources, policy interpretation, and coaching as needed to members of the administrative team. Conduct monthly executive assistant team meetings to share knowledge and address items of interest. Assist with screening and interviewing potential EVP, SVP and VP executive assistant candidates.

Background Qualifications


  • High School Diploma.
  • 10 or more years of administrative support experience required.


  • Bachelor’s Degree
  • 5 or more years of experience supporting SVP or EVP level. Prior supervisory experience.
  • Ability to portray a high degree of professionalism and customer service. High visibility/impact role. Political and organizational savvy.
  • Proactive approach to resolving issues. Ability to prioritize work and manage time to meet deliverables and deadlines.
  • Ability to work under pressure and handle continuous high volume workload.
  • Ability to use discretion and judgment in dealing with sensitive or confidential information.
  • Resourceful, flexible, and open to change. 
  • Ability to foster teamwork and a collaborative environment.
  • Ability to supervise and lead administrative, clerical and support teams in process improvement and change projects and initiatives.
  • Ability to influence decisions and outcomes in a matrixed work environment. Knowledge of records management systems.
  • Knowledge of state and federal record retention requirements. Demonstrated ability to display exceptional and versatile writing skills
